Importing Data

The data file we'd like to import needs to be properly prepared. We can generate such file in a system we used to work with. system file importer supports following file extensions: *.csv, *.xlsx. Data need to be placed in columns with described headings, as shown below.

Exemplary data we can import as contacts

  • Name
  • Surname
  • Title
  • Company (full company's name - it must exist in the system)
  • Company - database ID (identifiction number of a company, which exists in system)
  • Company - external database ID
  • Business phone
  • Cell phone
  • Fax
  • Email
  • Web site
  • Adress
  • City
  • Country
  • Country code in the ISO system
  • County
  • County code
  • Department (name must exist in the system)
  • Group (Groups must be predefined in the system. Individual group names need to be separated with comma or pipe.)

Data importing module is located in the administrative part of the system. To go there we need to click on the “Admin” button and then “Import”, both are located on the left side menu. System's import tasks are being queued. To add a new import we click on . On the form displayed, we need to choose the type of data we'd like to import and a file that we're going to import from. We accept clicking the “Submit” button located on the bottom of the form.

When the above mentioned file is loaded to the system, we can proceed to the column mapping. We need to bind the columns from the loaded file with the target records in our system. Some of those data may need records we've had to add earlier, this happens when we work on ID fields of related records (when we want to bind contact with company). After we chose data we'd like to import, we click on “Submit” button. The task will be added to the queue and within few minutes, data is going to be imported. In case of error occuring, system will inform about that on the list of imported files.
